On the debtor partner profile, there is a dedicated E-Invoicing tab that enables electronic invoice formats for outgoing invoices. This tab also allows the configuration of invoice recipient-specific data fields in some e-invoice formats.
The E-Invoicing tab becomes visible under any of these conditions:
-
The user has permissions to configure e-invoice formats
-
E-invoice formats have already been configured for the debtor
-
An e-invoicing format has been enabled for the entire legal entity due to legal requirements
The section ‘Via E-Invoice Appliance’ requires a special permission, as the Riege service must be involved in configuring this option.
The e-invoicing configuration on the debtor partner profile supports two communication channels for transmitting e-invoices:
-
Email attachment: E-invoices are automatically attached to invoice emails
-
Dedicated data transfer: E-invoices are transmitted through a dedicated channel, such as FTP. To improve traceability and enable additional functionalities like delayed transmission, these invoices will be displayed in a specialized e-invoice appliance. For the implementation of this channel, please contact the Riege service team, as the data transfer must be configured individually by Riege.
When using UBL e-invoice formats, users can configure additional invoice recipient-specific data fields. The field identifiers in brackets indicate the corresponding field in the European e-invoice standard EN-16931.
-
Routing ID (BT-10): An identifier assigned by the invoice recipient (buyer) used for internal routing purposes
-
Seller ID (BT-29): An identification of the seller usually assigned by the invoice recipient (buyer), such as the creditor account number or a supplier number of the ordering system
-
Buyer electronic address (BT-49): The invoice recipient’s (buyer's) electronic address to which the invoice is delivered
For the detailed set-up of the e-invoice format XRechnung, please follow this guide:
How to set up the XRechnung e-invoice format?
The XRechnung e-invoice format has mandatory data fields concerning the invoice issuer (seller) and invoice recipient (buyer).
Invoice Issuer
To create XRechnung e-invoices, the seller's electronic address (specified in EN-16931 field identifier BT-34) has to be configured first. This information should be entered in the partner editor of each Scope branch partner, specifically under the 'Registration IDs' tab. You can provide either an email address or an alternative form of electronic contact information.
Invoice Recipient
The XRechnung e-invoice format can be configured on the tab E-Invoicing on the debtor partner profile. E-invoices in Germany are usually sent as an attachment to invoice emails.
The invoice recipient's (buyer's) mandatory data fields are automatically populated using the email address of the primary contact with role Invoice Recipient. Any additional or alternative information required by the invoice recipient can be modified and maintained within the debtor partner profile.
