In Scope you can simply import articles from an Excel file by following these instructions.
Important Notes:
Riege cannot recover article data if the article import fails or is executed incorrectly!
We strongly recommend the following steps:
- Create a Backup: Always save a complete backup of your current articles before starting the import process. This ensures you can restore data if something goes wrong.
For guidance, please refer to our Knowledge Base article: How do I export articles to Excel? - Validate Data: Check the import file for errors, missing fields, or incorrect formats to prevent issues during the import.
- Test in a Safe Environment: First, upload the new articles in the Scope test environment to verify that the data imports correctly and the results meet your expectations.
- Review and Confirm: Carefully review the imported data in the Scope test environment. Ensure all fields are correctly populated, and no existing data has been unintentionally overwritten.
- Proceed to Live Import: Once the test import is successful and verified, proceed with the import in the Scope Production/Live environment.
- Post-Import Check: After importing, double-check the live data for accuracy and completeness to confirm the process was successful.
How to import new articles
Navigate to the Articles screen via Master Data > Articles.
Select Import > Mapped CSV Import to upload a CSV file/Excel file to Scope
Select from file and click Browse to navigate to the file you would like to import.
Select the chosen file and click OK.
Mapping
Now you need to map the data from the Excel file with the corresponding fields in Scope.
In the screen that appears, the fields “Article number”, “Nature of Goods” and “Partner” are mandatory to be filled.
When your file contains a header, you need to mark this by clicking Contains header.
We advise to do this mapping as specific as possible to reduce to risk of overwriting of already filled field with empty fields.
Also it is wise to try the mapping in your test environment in Scope to avoid difficulties with loss of data in your live environment of Scope.
Select the dropdown field for the requested fields and match to the correct column in the Excel file.
In case for example “Partner” is not mentioned in a specified column, it is also possible to link the articles to a fixed “Partner” by following the following steps:
- In the dropdown field for “Partner” select“ <Constant value> (example below)
- In the field behind the dropdown field for “Partner” you can select the Partner you would like to link the articles to.
- Select “Update existing data” to replace and/or update the existing data with the same information.
Click on Import and select if you like to save the current import configuration.
If you selected “Yes” you need to enter a name for the Import configuration:
After Selecting “OK” you have successfully Imported Articles to Scope and you will see an overview of what was done.
