Can I archive my business partner documents and data with Scope?

Audit-proof archiving of customer folders (business partner documents) via Scope is not provided. However, documents and messages are generally retained.

We initially retain all PDF documents generated by Scope use without a time limit. However, since Scope is not an archiving system but a software application for handling air, sea freight and customs transactions, PDFs could be lost - e.g. due to a technical malfunction. In this case, you will have to decide on the need yourself within your company: If audit-proof archiving is required, for example, there is the option of transferring relevant documents via an interface to your own archiving system that you use. The same applies to the storage of your ATLAS messages exchanged with the German customs administration via the Clearing Center: We initially retain all ATLAS message files exchanged with the German Federal Tax Administration via our ATLAS Clearing Center when using Scope ATLAS, without a time limit. None of the ATLAS message files are proactively deleted by us. Thus, we can assure you a retention period of 10 years.

In case of need - should this become necessary for any reason (e.g. in the case of a customs audit), we can also hand over the messages that have been sent to you by customs in PDF format. For this purpose, we would export your ATLAS messages from the ATLAS Clearing Center onto an external data carrier (subject to a fee). In special cases, an export of the original EDIFACT messages is also possible on request.
